What it does

Scheduled prompts let you set a Copilot prompt to run on a recurring schedule and drop the result where you'll see it, so routine asks happen without you kicking them off. Idea Coach is the brainstorming variant that helps generate and refine ideas, notably in Viva Engage and workshop settings.

Key facts

  • Scheduled prompts run on a cadence you choose and deliver the output automatically — a Monday digest, a weekly summary.
  • Idea Coach helps expand a prompt into richer ideas and follow-up angles rather than answering once.
  • Both sit within the Copilot experience and respect the user's existing permissions.
  • Output lands in Copilot Chat / the relevant surface for the user to pick up.

When to use / skip

Scheduled prompts are worth it for a genuinely repeating need — the same weekly synthesis you'd otherwise trigger by hand. Skip scheduling one-offs; you'll forget it's running and clutter your chat.

Configuration decisions

  • Governance around what's allowed to run unattended, and how often.
  • Where results are delivered and who can see them.

Gotchas

  • Set-and-forget means stale prompts keep firing long after they're useful. Review them periodically.
  • A scheduled prompt runs with the creator's permissions and context; results can drift as underlying data changes.
  • Idea Coach output is a divergence tool — it's meant to be broad, not precise. Don't judge it as a factual answer.

Consultant notes

  • Scheduled prompts are an underused adoption lever — the recurring digest is a habit-former that keeps people in Copilot.
  • Put light governance around unattended runs early, before you have hundreds of forgotten schedules.
  • Idea Coach shines in facilitated workshops; it's less a solo tool and more a group-thinking aid.
