What it does

The Recap tab that appears after a meeting or call: AI notes, suggested tasks, and timeline markers you can jump to, built from the transcript and (for the full version) the recording. It's the after-the-fact view, not a live assistant, and it comes with either a Teams Premium or a Copilot licence.

Key facts

  • Licensing: a Microsoft 365 suite with Teams (or a "no Teams" suite plus a Teams licence) and either Teams Premium or a Copilot licence. Audio recap needs Copilot specifically. PSTN call recap also needs Teams Phone and a calling plan.
  • Transcription is mandatory. For PSTN and 1:1 VoIP calls it's the calling-policy transcription setting; for meetings, events and group VoIP calls it's the meeting-policy transcription setting.
  • Recording is needed for the full experience. Without it, users get the notes and tasks but lose the recording, speakers, topics and chapters.
  • Meeting recap content: AI meeting notes, AI recommended tasks, personalised markers (your name mentioned, screen shares, when you joined or left), speaker timeline markers, chapters and topics.
  • Supported: meetings scheduled in Teams or Outlook, Meet now, events, PSTN calls, 1:1 and group peer-to-peer calls. PSTN call recap shows via the Recap button in the Calls app.
  • Events: recap only for organisers, co-organisers and presenters — attendees don't get it.
  • Audio recap (public preview): podcast-style summary across up to eight scheduled, transcribed meetings; stored 60 days in OneDrive under Recordings > AudioRecaps.
  • Video recap: narrated highlights cut from the recording, up to 100 highlights per recording, stored with the original recording. Needs both recording and transcription and a meeting of at least 10 minutes.
  • Multilingual recap (public preview): translates the recap into the language each participant chose for live translated transcription. Nine languages listed; not supported for events optimised for large audiences.
  • External sharing: users can send the recap to named external attendees via Share > Share via Outlook from the Recap tab.

When to use / skip

Recap is the feature most users actually mean when they say "I want AI in my meetings". They want to skip a meeting and catch up in five minutes. If that's the requirement and nothing more, it's available through Teams Premium as well as Copilot, and that's worth knowing before anyone signs a large Copilot order purely for meeting notes. The licence comparison itself belongs in the decision guide; the point here is that the feature doesn't care which of the two the user holds, apart from audio recap.

It falls over in organisations that have locked down transcription. No transcript, no recap — and without recording you get a thin version without speakers or chapters. If the client's Copilot policy uses "Only during the meeting" for sensitive meetings, those meetings will never have a recap. That's correct behaviour, but someone needs to tell the users.

Skip video and audio recap in the first wave unless there's a specific audience for them. They're nice demos, but audio recap is still preview and both depend on recording discipline most organisations don't have yet.

Configuration decisions

  • Which populations get recap through Teams Premium and which through Copilot (and whether audio recap matters enough to push someone to Copilot).
  • Meeting-policy transcription and recording settings for those users — recap is only as good as these.
  • Call-policy transcription for PSTN and 1:1 VoIP users who want call recap.
  • Recording storage and expiry: video recap lives inside the recording, so recording expiry policies remove it too.
  • Whether to allow sharing recap to externals via Outlook, and what the information-handling guidance says about it.
  • Preview participation: audio and multilingual recap need the client on Teams Public preview.

Gotchas

  • Recap without recording loses speakers, topics and chapters. Clients who disabled recording for storage reasons get half the feature and assume it's broken.
  • Video recap won't generate for meetings under 10 minutes or for transcribed-but-not-recorded meetings.
  • Audio recap silently drops meetings whose transcript is too short to say anything useful, and can skip chapters on poor transcription.
  • Audio recaps disappear after 60 days. Users who treat them as records will be disappointed.
  • Event attendees never see recap. Only organisers, co-organisers and presenters.
  • Multilingual recap doesn't apply to large-audience events, and relies on participants having picked a language for live translated transcription.

Consultant notes

  • When a user says "no recap", check in this order: licence (Premium or Copilot), transcription started, recording allowed, then the organiser's Copilot meeting option.
  • Point out that recap is generated from the transcript, so transcription accuracy is the real quality lever. The tenant custom dictionary helps for Copilot-licensed organisers.
  • Put "start transcription" into meeting etiquette guidance. Recap can't summarise what wasn't transcribed.
  • For call recap, PSTN users need Teams Phone plus a calling plan per Learn — confirm the client's Direct Routing or Operator Connect entitlement position before committing.
  • Data handling for recap has its own Learn privacy page under /microsoftteams/privacy/intelligent-recap — hand that to the DPO rather than paraphrasing it.
